Collect signatures, photos and manage your POD data

Turning POD collection on/off

If you would like to collect proof of delivery, such as photos and signatures, go to Settings > Operations > Proof of delivery to enable/disable this feature.

You can select if collecting POD is or isn't a default requirement for your account.

You can also decide if POD is/isn't collected at an individual stop level by making changes to that specific stop.

Any POD collected is stored indefinitely.


Only collect POD for selected stops

When uploading stops via a spreadsheet, in the column called proof of delivery:

  • Type required if you would like POD collected for that stop

  • Type not_required if no POD collection is needed for that stop

Your driver will not see the POD collection screen in the app for stops where it is marked as not_required.

If the proof of delivery column on the spreadsheet is left blank, your account default settings will be used.

To change POD settings on an optimized/live route:

  • Click on a stop

  • Under Stop Set Up mark POD collection as required or not required


Set POD and delivery method preferences for drivers

You can set custom preferences for what type of POD is mandatory, optional, or disabled and which delivery methods are available to drivers.

Example: Allow drivers to deliver to a safe place and make it mandatory that the driver collects photographic POD for packages that are delivered to a safe place.

  • Go to > Settings > Operations > Proof of delivery

  • Under Delivery preferences toggle on/off all the delivery methods you want to be available as an option to drivers in the driver app

  • At least one delivery method must be enabled

You can select any/all of these delivery methods:

  • Deliver to recipient

  • Deliver to third party

  • Deliver to mailbox

  • Deliver to pickup point

  • Leave in a safe place

  • Other

For each delivery method, you can also specify which type of POD needs to be collected and make POD collection mandatory, optional or disabled.

  • Select the type of POD you would like collected. Signature and/or Photo

  • Use the drop-down menu to specify if POD collection is mandatory, optional or disabled

  • Only one POD type can be set as mandatory for each delivery method

  • Only the POD options you select will be visible in the driver app


Set POD and delivery method preferences for an individual stop

  • Go to the stop you want to edit

  • Under Proof of delivery click > Preferences

  • Select the POD and delivery method you want to apply to that specific stop


How drivers collect POD

When using the Circuit for Teams driver app to carry out their route, drivers can mark stops as delivered or failed.

Marking a stop as delivered

When a stop is marked as delivered, the driver can select one of these reasons:

  • Delivered to recipient

  • Delivered to third party

  • Left in mailbox

  • Left in safe place

  • Delivered to pickup point

  • Other

Once they have selected a reason, they will then be able to add POD information such as:

  • A signature

  • Photos

  • A note for the recipient

  • A note for internal use

If you have set a POD type as mandatory, this will need to be collected by the driver in order for them to mark the stop as delivered.


Marking a stop as failed

When a stop is marked as failed, the driver can select one of these reasons:

  • Recipient not home

  • Can't find address

  • No parking

  • No time

  • Other

Once they have selected a reason, they will then be able to add POD information, including:

  • Photos

  • A note for the recipient

  • A note for internal use

After adding POD information for a stop, a driver can delete it and add new POD information.


How to handle a stop when mandatory POD cannot be collected

If drivers cannot collect the mandatory POD required for a stop, but the item has been delivered, they need to:

  • Collect any optional POD if that is a visible option in their driver app

  • Tap > Something went wrong? at the bottom of the screen

  • Select the reason why they couldn't collect the mandatory POD

  • Tap > Mark stop as failed


POD info for Dispatchers and Recipients

When POD information is added to a stop by a driver, this is then:

  • Instantly visible on the dispatcher/admin dashboard

  • Instantly visible to recipients via the tracking link included in customer notifications (if customer notifications are an active feature in your account)

Copying POD information

Dispatchers/admins often need to collate and send POD information to their clients and recipients, so we've made this simple.

Click on a stop to see the stop details, and below the POD, you will see two buttons:

  • Copy details

  • Copy link

Copy details

Click Copy details, and it will save all the available POD information to your clipboard, which you can then paste wherever you need to transfer that information.

Copy link

Click Copy link, and this will copy a link to your clipboard. This link is the same tracking link that the recipient receives. Open this link in a browser and you will be able to see the same information as your recipient.

These options allow you to see what the recipient sees and easily copy, paste and share POD information in seconds!
